Please read these terms and conditions carefully before using our services.
1. Service Agreement
These terms and conditions govern your use of Orchard & Oak Fitness services. By booking or attending any session, you agree to be bound by these terms. Our services include personal training, group classes, massage therapy, kinesio taping, and related wellness services.
2. Booking and Payment
Booking Policy: All sessions must be booked in advance. We operate a first-come, first-served booking system based on availability.
Payment Terms: Single sessions are payable at the time of booking. Block bookings and packages must be paid in advance in full.
Travel Surcharge: Sessions beyond a 10-mile radius of Guildford may incur a reasonable travel surcharge, which will be agreed upon booking.
3. Cancellation Policy
24-Hour Notice: Cancellations must be made at least 24 hours before the scheduled session time.
Late Cancellations: Cancellations made with less than 24 hours notice will result in the full session fee being charged, unless due to genuine emergency or illness.
No Shows: Failure to attend a scheduled session without notice will result in the full session fee being charged.
Rescheduling: We will make reasonable efforts to reschedule cancelled sessions subject to availability.
4. Health and Safety
Health Disclosure: You must disclose any relevant health conditions, injuries, or physical limitations before participating in any session.
Medical Clearance: If you have any medical conditions or are returning to exercise after injury, you may be required to obtain medical clearance.
Pregnancy: Please inform us immediately if you become pregnant during your training programme so we can modify exercises appropriately.
Participation at Own Risk: You participate in all activities at your own risk and are responsible for listening to your body and exercising within your limits.
5. Liability
Limited Liability: Orchard & Oak Fitness and its trainers accept no liability for any injury, loss, or damage arising from participation in our services.
Insurance: We maintain appropriate professional indemnity and public liability insurance. We recommend that clients have their own personal accident insurance.
Equipment: While we provide all necessary equipment in good condition, we cannot accept liability for equipment failure or malfunction.
6. Code of Conduct
Respectful Behaviour: All clients are expected to behave respectfully towards trainers and other participants.
Appropriate Attire: Clients must wear appropriate exercise clothing and footwear suitable for the planned activities.
Children: Children are welcome at designated sessions (Mums Club, Baby & Toddler Hikes). Parents remain responsible for their children's safety and behaviour at all times.
7. Privacy and Data
Your privacy is important to us. Please refer to our Privacy Policy for information about how we collect, use, and protect your personal data.
8. Modifications to Services
We reserve the right to modify our services, schedules, and prices with reasonable notice. Existing bookings will be honoured at the originally agreed terms.
9. Termination
We reserve the right to terminate our service agreement with any client who breaches these terms or behaves inappropriately. In such cases, no refund will be provided for unused sessions.
10. Governing Law
These terms and conditions are governed by English law and any disputes will be subject to the jurisdiction of the English courts.
